1. Introduction
This Privacy Policy explains how FastTrackAI, LLC ("FastTrackAI," "we," "us," or "our") collects, uses, processes, stores, and shares information when you use our mobile applications, websites, and related services (collectively, the "Services").

This Privacy Policy applies to the following applications developed and operated by FastTrackAI, LLC:

• FastTrackAI: Smart Notes — AI-powered recording, transcription, and summarization for everyday use.

• RealEstateAI — AI-powered recording, transcription, and summarization for real estate professionals.

• ShelterAI — AI-powered recording, transcription, and summarization for animal shelters and rescue organizations.

All three applications share a common underlying technology platform and privacy protections.

We are committed to protecting your privacy and providing transparency about how your information is handled, particularly when using artificial intelligence (AI) features.

Certain features involve optional processing by third-party AI services. We obtain your explicit consent before transmitting your information to Google Gemini for AI summary generation.

2. Information We Collect
Depending on how you use our Services, we may collect or process the following information:

• Account and Authentication Information: When you sign in using Apple or Google, or use an available guest login option, we process information necessary to create and manage your account. This may include your name, email address, unique account identifier, and authentication tokens. The information provided depends on your selected sign-in method and privacy settings.

• Usage and Device Information: App interactions, device type, operating system, app version, diagnostic information, crash reports, and security verification information, where collected.

• Recording and Transcription Data: Audio recordings and text transcripts created through the app. Audio transcription is performed locally on your device.

• User-Provided Content: Custom dictionaries, prompts, session information, notes, photos, and other information you enter or create within the app.

• Subscription Information: Subscription status, purchase identifiers, trial eligibility, and AI credit balances, where applicable.

• Optional Information: Feedback, support requests, and other information you voluntarily provide.

Information processed locally on your device is not necessarily collected by or transmitted to FastTrackAI or its cloud service providers.

Information transmitted to Google Gemini for AI processing is described in Section 5.

3. Account Authentication
FastTrackAI applications use Google Firebase Authentication to securely manage user accounts and authentication credentials.

Firebase Authentication is integrated into all three applications and supports Sign in with Apple, Sign in with Google, and guest login.

When you sign in, your selected authentication provider verifies your identity and provides information necessary to establish and maintain your FastTrackAI account.

Depending on your selected provider and privacy settings, this information may include your name, email address, and a unique account identifier. Guest accounts may use an anonymous account identifier without requiring a name or email address.

We use account information to:

• Authenticate users and maintain account access.

• Manage subscriptions and access to app features.

• Protect accounts against unauthorized access.

• Provide customer support and account-related communications.

• Associate account information with supported services and features.

FastTrackAI does not receive or store your Apple ID or Google account password.

Authentication information is handled in accordance with this Privacy Policy and the applicable privacy policies of Apple and Google.

4. How We Use Information
We use information to:

• Provide, maintain, and improve our Services.

• Enable audio recording, transcription, and AI-powered summarization.

• Process user-requested AI summaries through the selected AI model.

• Authenticate users and manage account access.

• Administer subscriptions, free trials, and AI credits.

• Personalize user experiences through custom dictionaries and preferences.

• Enable secure access to user information across supported devices as synchronization functionality is implemented.

• Communicate with users regarding updates, support requests, and inquiries.

• Diagnose technical problems and improve app reliability.

• Protect our Services against unauthorized access, fraud, and abuse.

• Conduct service analytics and evaluate app performance.

• Send promotional communications where permitted by law and consistent with user preferences.

• Comply with applicable legal obligations.

We do not use your audio recordings, transcripts, or AI-generated summaries to train our own AI models.

5. AI Processing and Model Choices
FastTrackAI applications provide multiple AI processing options depending on the application, subscription plan, and device compatibility.

All three applications share a common AI processing architecture. Users may generate summaries using Apple's on-device Foundation Models or Google's cloud-based Gemini AI service, where available.

The privacy protections, data processing disclosures, and consent requirements described below apply to FastTrackAI: Smart Notes, RealEstateAI, and ShelterAI.

A. Apple Foundation Models (On-Device AI — Plus Plan)
FastTrackAI uses Apple's on-device Foundation Models to generate AI summaries on compatible Apple devices.

• Audio transcription is performed locally on the user's device.

• AI summary generation using Apple's Foundation Models occurs on the device.

• Transcripts and other information processed through this on-device AI option are not transmitted to Google Gemini.

• Custom dictionaries and other reference information used for on-device processing remain local unless the user separately chooses to export, share, or synchronize them through an available feature.

• FastTrackAI does not receive or store AI prompts or outputs solely because they are processed using Apple's on-device Foundation Models.

On-device AI processing does not require users to share information with Google Gemini.

B. Google Gemini (Cloud-Based AI — Pro Plan, Optional)
Pro Plan subscribers may choose to generate AI summaries using Google's Gemini AI service through the Gemini API.

Automatic Personal Information Anonymization
Before transmitting a transcript to Google Gemini, FastTrackAI automatically processes the text to identify and mask certain personally identifiable information (PII).

This includes information such as:

• Personal names.

• Phone numbers.

• Email addresses.

• Street addresses.

• Social Security numbers.

• Financial account numbers and other sensitive identifiers.

Identified information is replaced with anonymized placeholders before the transcript is transmitted to Google Gemini.

This privacy protection is built into the shared AI processing engine used by FastTrackAI: Smart Notes, RealEstateAI, and ShelterAI.

Although this technology is designed to reduce the transmission of personally identifiable information, automated detection may not identify every instance of sensitive information. Users should remain mindful of the information included in recordings, transcripts, and custom dictionaries.

Information Transmitted to Google Gemini
When you choose Google Gemini to generate a summary, FastTrackAI transmits the following information to Google's Gemini AI service:

• Recording Transcript: The text transcript generated from your audio recording, after automated processing to identify and mask certain personally identifiable information.

• Custom Dictionary: User-defined terms and vocabulary provided to improve the accuracy and context of AI-generated summaries.

• AI Prompt and Summary Instructions: Instructions used to organize, format, and generate the requested summary.

Despite automated anonymization, the information transmitted may contain personal or sensitive information included in the transcript, custom dictionary, or instructions.

Information NOT Transmitted to Google Gemini
FastTrackAI does not transmit the following to Google Gemini:

• Original audio recordings.

• Photos or images captured or added within the app.

Purpose of Processing
Google Gemini processes the transmitted text to generate the AI summary requested by the user. The generated response is returned to the application for presentation to the user.

User Consent
Before transmitting information to Google Gemini for the first time, FastTrackAI displays a consent dialog that:

• Identifies Google Gemini as the third-party AI service.

• Explains what information will be transmitted.

• Describes the purpose of transmitting the information.

• Requests the user's explicit permission before processing begins.

Users must affirmatively consent before their information is transmitted to Google Gemini.

If a user declines consent, FastTrackAI will not transmit their information to Gemini for AI summary generation.

Users may withdraw consent through the app's Settings. Withdrawing consent prevents future Gemini processing unless the user provides consent again.

Users may choose to use Apple's on-device Foundation Models instead, subject to device compatibility and subscription availability.

Google Gemini Data Processing and Privacy
Information transmitted to Google Gemini is processed by Google in accordance with the applicable Gemini API terms and data processing policies.

FastTrackAI uses the paid Gemini API. Under Google's applicable paid-service terms, submitted prompts and responses are not used to train or improve Google's AI models without permission.

Google may retain or process certain information for operational, security, abuse-prevention, or legal compliance purposes, as described in its applicable terms and policies.

FastTrackAI Handling

• FastTrackAI does not use content submitted to Google Gemini to train its own AI models.

• Information is submitted to Gemini for the purpose of generating the summary requested by the user.

• FastTrackAI does not sell user transcripts, custom dictionaries, or AI-generated summaries to third parties.

• Users may discontinue Gemini processing by withdrawing their consent.

C. AI Accuracy and Limitations
AI-generated summaries may contain errors, omissions, or inaccuracies.

Users are responsible for reviewing and verifying AI-generated summaries and reports before relying on them, particularly for medical, legal, financial, or other important decisions.

AI-generated content should not be considered a substitute for qualified professional judgment.

6. Cloud Storage and Synchronization
We are implementing functionality to securely synchronize users' summaries, transcripts, photos, and related information across multiple devices, allowing users to access their information from iPhones, iPads, desktop computers, and laptops.

To provide this functionality, FastTrackAI uses Google Cloud and Firebase infrastructure for account management and is implementing secure cloud storage and synchronization of user information.

As synchronization functionality becomes available, information such as summaries, transcripts, photos, custom dictionaries, and associated session details may be transmitted to and stored on Google Cloud and Firebase servers so users can access their information from their other devices.

Access to synchronized information is protected through account authentication and applicable security measures.

Original audio recordings are not uploaded as part of cloud synchronization.

Users will be informed about the availability of synchronization features and the information synchronized.

This synchronization functionality is separate from Google Gemini AI summary processing described in Section 5.

7. Sharing of Information
FastTrackAI may share information with third parties in the following circumstances:

• AI Service Providers: When users explicitly consent to Google Gemini processing, the information described in Section 5.B is transmitted to Google's Gemini AI service for summary generation.

• Authentication Providers: Apple and Google provide authentication services that allow users to sign in. Google Firebase Authentication is used to manage account authentication and guest access.

• Subscription Services: Apple StoreKit and Superwall may process subscription status, transaction identifiers, purchase events, and related information to manage subscriptions, free trials, and entitlements.

• Diagnostics and Security Providers: Services such as Firebase Crashlytics, Firebase App Check, and Apple App Attest may process technical diagnostics, device information, crash reports, and security verification data to maintain app reliability and security.

• Cloud Infrastructure Providers: Google Cloud and Firebase provide infrastructure for account management and are being used to implement cloud storage and synchronization as described in Section 6.

• Other Service Providers: Third-party providers assisting with technical support and operation of the Services, subject to applicable privacy and security protections.

• Business Transfers: In connection with a merger, acquisition, reorganization, or sale of business assets, subject to applicable law.

• Legal Requirements: When required to comply with applicable laws, regulations, legal processes, or government requests.

• User-Directed Sharing: When users choose to export, copy, or share information with others.

FastTrackAI does not sell user recordings, transcripts, custom dictionaries, or AI-generated summaries to third parties for advertising or marketing purposes.

8. Your Choices, Privacy Rights, and Account Deletion
Users may:

• Adjust device permissions for microphone, camera, photos, and other features.

• Choose between available AI processing options based on subscription plan and device compatibility.

• Grant or decline consent for Google Gemini AI processing.

• Withdraw previously granted Gemini processing consent through the app's Settings.

• Opt out of promotional communications.

• Request access to or correction of applicable personal information by contacting FastTrackAI.

• Export or share available transcripts and summaries using supported app features.

• Delete their FastTrackAI account directly within the app.

Depending on their location and applicable law, users may have additional privacy rights, including the right to access, correct, delete, or obtain copies of their personal information and to object to or restrict certain processing.

Account Deletion
Users can initiate account deletion through the app's account settings.

When an account is deleted, FastTrackAI deletes or de-identifies associated personal information under its control, except where retention is necessary to comply with legal obligations, prevent fraud, resolve disputes, or fulfill other legitimate requirements permitted by law.

Account deletion may include removal of associated Firebase Authentication records and other account information maintained by FastTrackAI, as applicable.

Information retained by third-party service providers may be subject to their applicable data retention policies.

Declining or withdrawing consent for Google Gemini processing will not prevent users from accessing other available app features that do not require Gemini.

9. Data Retention
FastTrackAI retains personal information only for as long as reasonably necessary to provide the Services, fulfill legitimate business purposes, comply with legal obligations, or resolve disputes.

Audio recordings, transcripts, and AI-generated summaries may be retained locally on the user's device according to the app's functionality and the user's actions.

Audio recordings are stored locally on the user's device using applicable iOS security and file protection mechanisms.

Original audio recordings are not uploaded to Google Gemini or included in cloud synchronization.

Information submitted to Google Gemini is subject to Google's applicable data processing and retention policies.

As cloud synchronization functionality becomes available, synchronized information may be retained on Google Cloud and Firebase servers while needed to provide the service or until deleted by the user, subject to applicable legal and operational requirements.

Users may delete their accounts through the app or contact FastTrackAI to request deletion of applicable personal information.

10. Security
FastTrackAI uses reasonable technical and organizational safeguards designed to protect user information.

These safeguards include:

• Local storage protections provided by Apple's iOS operating system.

• Secure account authentication through supported authentication providers.

• Encrypted network connections for information transmitted to Google Gemini and other authorized cloud services.

• Access controls designed to restrict unauthorized access to account information and synchronized records.

• Security and diagnostic technologies designed to help protect app integrity and service reliability.

Although we take reasonable measures to protect information, no electronic transmission or storage system can be guaranteed to be completely secure.

11. International Data Processing
FastTrackAI uses service providers that may process information in the United States and other countries where they operate.

When information is transmitted to Google Gemini or other cloud-based service providers, it may be processed in jurisdictions outside the user's country of residence.

Where required by applicable law, FastTrackAI and its service providers use appropriate safeguards for international transfers of personal information.

12. Children's Privacy
Our Services are not directed at children under the age of 13.

We do not knowingly collect personal information from children under 13 without appropriate parental consent.

If we become aware that we have collected personal information from a child under 13 without the required consent, we will take appropriate steps to delete that information.

13. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our Services, technology, legal requirements, or data processing practices.

When required by law, we will notify users of material changes and obtain additional consent where necessary.

If material changes affect the information transmitted to Google Gemini or how that information is processed, users may be asked to review updated disclosures and renew their consent before using Gemini processing.

The effective date at the top of this Policy indicates when it was last updated.
